Privacy notice

This notice explains how Experts Live UK ("we", "us") collects and uses your personal data when you give feedback on an event, register your interest, or share photos through our website. We are the data controller for that information. If you have any questions, or want to exercise your rights, email hello@expertslive.co.uk.

What we collect and why

  • Event feedback. Your rating and any answers you give (best session, topics, comments, a quotable line). If you choose not to be anonymous, also your name, email and company. We use this to understand how the event went and to plan future ones. Lawful basis: our legitimate interest in improving our events; you can submit anonymously, in which case no identifying data is collected.
  • Mailing list. If you tick the box to hear from us, we keep your name and email to send you news about Experts Live UK. Lawful basis: your consent. You can unsubscribe at any time by emailing us.
  • Photo gallery. If you upload a photo, we store the image, any caption and credit you add, and (kept private) the email you optionally give us for contact. We use these to run the community gallery and in related Experts Live UK promotion. Lawful basis: your consent (given at upload) and our legitimate interest in promoting the community. Every photo is reviewed by a person before it appears.
  • Speaker ratings. Attendees rate sessions and speakers during the event. We publish an aggregated summary — including named speakers with their average rating and the number of ratings received — on our post-event pages, as a record of the event and to recognise our speakers. These pages are not search-indexed. Lawful basis: our legitimate interest in reporting on and promoting the event. If you spoke and would prefer not to be named, email hello@expertslive.co.uk and we will remove you.
  • Sponsorship enquiries. If you ask about sponsoring, we keep the name, work email, phone (if you give it), company and any message you send, to respond and discuss sponsorship. Lawful basis: our legitimate interest in taking steps towards a possible sponsorship agreement.
  • Technical data. To prevent spam and abuse we keep a one-way, salted hash of your IP address (never the IP itself) and your country. We do not use these to identify you.

Photos of identifiable people

When you upload a photo you confirm you have the right to share it and that anyone clearly identifiable in it is happy for it to be shared. We strip location and camera metadata (EXIF/GPS) from every uploaded photo before it is stored. If you appear in a photo and would like it removed, use the "request removal" link on the photo in the gallery, or email hello@expertslive.co.uk — we will take it down promptly.

How long we keep it

  • Feedback: kept while we plan and improve our events, normally up to 24 months, then deleted or anonymised.
  • Mailing list: until you unsubscribe.
  • Gallery photos: kept while the gallery and related promotion are live; removed on request. We do not retain the original, un-stripped file.
  • Anti-abuse technical data: rate-limiting counters are kept for about an hour; where a salted IP hash is stored alongside a feedback or gallery record, it is kept for the life of that record and removed when the record is deleted.

Who we share it with

We do not sell your data. We use Cloudflare to host the website and store submissions on our behalf (as our processor). Ticket purchases are handled by Stripe under their own privacy terms. We only share data where we are legally required to.

Cookies and analytics

We use a small number of optional advertising and analytics cookies, provided by third-party advertising platforms, to measure and improve our advertising (for example, page visits and clicks on our ticket links). These are not set unless you accept them: when you first visit, a banner lets you accept or reject, and nothing non-essential loads until you choose. You can change your mind any time by clearing this site's data in your browser, and you can also control advertising cookies through your browser settings.

Your rights

You have the right to access the personal data we hold about you, to have it corrected or deleted, to object to or restrict its use, and to withdraw consent at any time. To exercise any of these, email hello@expertslive.co.uk. If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk.

Changes to this notice

We may update this notice from time to time. The date at the top shows when it was last changed.
